OFAI APPLICATION PROCESS

2010 Enrollment Information
Early Bird Enrollment, for people who have never taken an OFAI workshop before, begins Monday, August 2.  Open Enrollment, for all participants, begins Monday, August 30 at 5:30 p.m.  When enrollment is opened, a link to registration will be posted here.  Workshop space and scholarships are administered on a first come, first served basis. Workshops fill quickly, so register as soon as possible.

Returning participants, please note there are no wait lists available during Early Bird Enrollment.  If you attempt to register during Early Bird Enrollment, your application will be discarded. Please keep in mind that only one workshop typically fills during Early Bird Enrollment each year (Basic Digital Photography), but many workshops fill within minutes of Open Enrollment.  To have the best chance at enrolling in the workshop of your choice, we recommend enrolling as close to 5:30 p.m. as possible.

OAI must receive registration materials for the workshop at least one week before the workshop begins. (For example, registrations for the workshop beginning on October 28th are due October 21st.)  All registrants will receive a confirmation notifying you of your workshop and scholarship assignment.

Wait Lists/Scholarships
If the workshop you wish to attend is full, you can be placed on a waiting list. However, please be aware that cancellations are rare, and we recommend you choose a different workshop. You can be placed on the waiting lists of up to three workshops through our online enrollment system. 

Each Oklahoma public school educator is eligible to attend one workshop on scholarship. Scholarships are not guaranteed. If no scholarships are available at the time of enrollment, participants will be notified by the Oklahoma Arts Institute. In the event that extra scholarships are available, educators may receive an additional scholarship. If you would like to place your name on a waiting list for an extra scholarship, please call the Oklahoma Arts Institute office. Educators are always welcome to attend a second workshop at a total cost of $605 ($635 for visual arts classes).

Fees

Please note: Instead of requiring participants to purchase supplies for visual arts classes this year, visual arts participants will pay a $30 supplies fee. This fee applies to all painting, photography, and printmaking workshops.  OAI will supply all paints, brushes, canvases, paper, photo paper, printing inks, knives, etc.  Photography students will need to bring a camera, but all other supplies will be provided.  Participants may bring their own supplies from home if desired; however they will still have to pay the fee.  We hope this change will be more economical and convenient for our visual arts participants.  This $30 fee for visual arts classes is IN ADDITION to the costs listed below.

Oklahoma public school teachers and administrators receive full scholarships to OFAI, including tuition, room and board. Public school educators pay only a non-refundable $30 registration fee. Additionally, contributions from the private sector allow the Institute to offer workshops to non-educators who are Oklahoma residents at about half the actual cost ($605). Non-Oklahoma residents can attend at a total cost of $1,080. All participants are responsible for purchasing any supplies that may be required for their workshop.

For scholarship recipients, the $30 non-refundable registration fee is due at registration.  For people who do not receive scholarships, a $30 non-refundable registration fee and a $100 deposit are due at registration. The remaining $475 balance is due no later than two weeks prior to the chosen OFAI workshop.

Oklahoma private school teachers and college/university educators are encouraged to attend OFAI. However, they are responsible for the full cost of the workshop ($605). Staff development funds or scholarship grants may be available through a teacher's school, but the teacher is responsible for contacting the administration and requesting funds. Private school or university educators must pay a $30 non-refundable registration fee and a $100 deposit at the time of registration, with the remaining balance of $475 due no later than two weeks prior to the chosen OFAI workshop.

All participant rooms are double occupancy. If space allows, private rooms are available for an additional $100 fee. OFAI participants reserving a single room may bring a spouse/guest for an additional fee of $75, and/or a child for an additional fee of $50. Guests may not attend classes, and no unattended children are allowed at Quartz Mountain.

Refund/Cancellation Policies

If you are unable to attend a workshop for any reason, please notify the Oklahoma Arts Institute immediately so that your place may be filled by an applicant from the waiting list. Educators receiving scholarships: if you are unable to attend your workshop and you do not give at least 48 hours notice, you will not be eligible for an OFAI scholarship in the future. If you cancel more than 14 days before the first day of the workshop, your tuition, less the $30 registration fee, will be refunded. If cancellation notice is received after the 14 day deadline, and the workshop place cannot be filled, full-paying participants will forfeit the $100 deposit and the $30 registration fee. In the instance that the Oklahoma Arts Institute is forced to cancel a class, the full deposit including the application fee will be refunded. The Oklahoma Arts Institute reserves the right to substitute faculty members. If possible, participants will be notified of a faculty change prior to the workshop.

Terms of Registration

Participants agree and understand that, unless the Oklahoma Arts Institute is otherwise instructed in writing, registration constitutes a release for any photographs taken of participants at the Oklahoma Fall Arts Institute. Participants also understand that their written comments may be used for public relations for the program. If a participant is unable to attend the workshop, that participant must notify the Oklahoma Arts Institute 14 days prior to the first day of class in order to be refunded the total tuition paid, less the $30 registration fee. With online registration, participants hereby waive any and all claims for the participant and the participant's heirs and personal representatives against the Oklahoma Arts Institute and the Quartz Mountain Arts and Conference Center and Nature Park, and any of their agents, servants or employees for injury, illness, or loss of personal property, by theft or otherwise, which may result from participation in such workshop. The Oklahoma Arts Institute reserves the right to refuse registration at their sole discretion.
